The correct question would be: “What is legal operations?” Our legal operations team is looking for a detail-oriented, independent thinker who enjoys repetitive tasks and is interested and willing to learn about legal operations. There’s plenty to do in the Legal Division of a company like SAIF: sprucing up documents to comply with company standards; working with data, files, and research; and ensuring that everything that crosses your desk has the i’s dotted and t’s crossed. Responsibilities Maintain updates in legal information systems. Respond to inquiries on own initiative by determining needs, researching, and providing follow-up with customers, and forwarding those of a highly technical nature to the attorneys or supervisor. Respond to inquiries regarding the initial processing request for hearings. Complete and submit correspondence and notices needed to process and update systems with information from the Workers Compensation Board. Review and prepare legal documents for a variety of processes with accurate information. Research and obtain information from multiple sources to assure receipt of case and hearing information for the attorneys. Enter and maintain files and computer information for thorough documentation and data integrity per SAIF policies and standards. Analyze problems and determine an approach to resolve the situation or develop recommendations for action by supervisor. Prioritize workload to manage competing priorities. Participate in daily workload assignment and adjusting legal staff. Maintain availability in the unit’s telephone queue and provide professional customer service to assist callers. Respond to inquiries determining needs, researching, and providing follow-up with customers, and forwarding those of a highly technical nature to attorneys. Understand different document types based on detailed divisional taxonomies, with the requirement to work with more than one divisional taxonomy. Utilize document taxonomy knowledge to correctly identify document type and sub-type for indexing out of a variety of queues. Process status changes and assign attorney updates and prepare correspondence to gather and assess information. Perform specialized third-party tasks such as processing checks and ARA distributions. Perform electronic research for claim information as needed, including DMV record requests, dog bites, police reports, and third-party contact information. Process third party incoming and outgoing mail. Enter and update claims information and documentation in third party claims files in accordance with SAIF policies and procedures. Responsible for ensuring compliance with records retention in relation to legal operations’ work product. Explore diverse perspectives and consistently behave sensitively toward differences in cultural norms, expectations, and ways of communicating. Work effectively with others who have different perspectives, backgrounds, and/or work styles. Recommended qualifications: Two years of increasingly responsible administrative office experience in a high-volume work, team-oriented environment with an emphasis on customer service. Workers’ compensation claims background is helpful. A high school diploma or equivalent. Other combinations of skills and experience may be considered. Actual compensation will be determined using factors such as experience, skills, training, certifications & education.
